Our client Pentair Ltd. (www.pentair.com) delivers industry-leading products, services and solutions for its customers’ diverse needs in water and other fluids, thermal management and equipment protection. To better support growing customer needs in Africa in food and beverage, energy, industrial and residential industries, Pentair is opening a new office in Nairobi and looking for a Management Assistant.
The Management Assistant supports the Business Development Director in the operational and Strategic daily activities, in order to keep the focus on the most important elements of the company strategy, reach the business objectives in a most efficient way and grow the business performance together with the rest of the office team.
Principal Accountabilities:
Personal Assistant for the Business Development Director; The Management Assistant is responsible for making reports formanagement meetings and takes care of the distribution to the right people within the organization. She/he ensures that the Business Development Director gets all relevant data, information and reports in order to fully be informed about the business status and make appropriate decisions in an effective and efficient way.
Management Report; The Management Assistant coordinates the planning and agenda of the management meetings and invites the required participants to the meetings. She/he is responsible for writing minutes of the meetings, setting up and updating the actions list in order to facilitate efficient and effective meetings and follow ups.
Organizing Meetings; The Management Assistant organizes the travels (flight tickets & hotels) and assists the office visitors with all necessary arrangements in order to ensure that the company employees travel efficiently and the visitors have a professional hospitality.
Travel Coordination; The Management Assistant organizes the travels (flight tickets & hotels) and assists the office visitors with all necessary arrangements in order to ensure that the company employees travel efficiently and the visitors have a professional hospitality.
Administration; The Management Assistant is responsible for handling all general office administration activities, preparing purchasing orders and invoices for approval, managing office supplies inventory
Communication (internal/external); The Management Assistant is responsible for all outgoing communication from the Business Development Director and is in charge of handling all incoming communication in order to ensure an effective and efficient communication between departments and to the external world.
Qualifications, Experience and Knowledge:
  • Diploma or University degree
  • Minimum 3 years of experience in similar position
  • Very mature ownership of responsibilities
  • Highly organized, stress resistant, bright, initiative, dynamic, able to handle changes & short deadlines
  • Communication skills, discrete, service minded accurate, independent, flexible, quality and result oriented.
