Human Resource Officer

Organisation: NFT Consult
Duty Station: Kampala, Uganda
Key Duties & Responsibilities:
  • Processing all personnel official correspondence.
  • Handling communication, interpretation & implementation of all HR policies.
  • In charge of handling staff leaves management.
  • Process overtime worked, make entries in both excel & ERP as well as reconciliation of the two systems.
  • Casual recruitment, posting of casual laborers’ attendance and preparation for their payments.
  • Posting of new entrants in ERP, shift employee master and generation of shift roster to activate new ones.
  • Ensure all new employees have NSSF, bank accounts and register their residences for local service tax purposes.
  • Handling staff contracts management i.e. drafting, issuing and tracking them for renewal purposes.
  • Responsible for conducting orientation & induction of new employees.
  • Performance management e.g. issuing of trial letters, appointments, confirmations & participate in performance appraisal process.
  • Ensure proper filling of documents and updating personnel files.
  • Preparing & follow up on clearance forms for terminated, resigned etc.
  • Handle all activities that relate to corporate league (sports & games) both internal and external.
  • Execute the responsibilities assigned as a Worker Representative.
  • Draft & issue memo’s i.e. Warnings, suspensions, terminations, dismissals, resignation acceptance, absconding etc. and ensuring appointments and confirmations are received in time.
  • Handle all issues that relate to acquisition of Bank loans.
  • Handle disciplinary issues & staff grievance process i.e. receive complaints, bring them to the attention of HRM, issue summon letters & arrange for disciplinary hearings, inform all members, take minutes & implement committee resolutions.
  • Caring for the welfare of Company Workers, Follow up on Quality of Meals, availability of drinking water, issuing of soap and housekeeping.
  • Participate in recruitment & selection process, arrange & conduct interviews.
  • Supervisor TA & Coupon machines.
  • Staff cards management i.e. ordering for TA cards, receive requests for ID cards renewals, liaise with advertising to have them ready, issue them to individuals & activation to both TA & coupon machines.
  • Handle students for internship training i.e. receive applications, arrange for interviews with Director Technical, issue acceptance letters, handle their briefing & welfare, receive their reports, issue them written recommendation letters after completion and maintain records.
  • Advise line managers on HR related issues & also coordinate head office, outlets & at times RRM.
  • Perform any other duties normally assigned from time to time by either Ass. HRM or HRM.
Qualifications, Skills and Experience: 
  • The Human Resource Officer should possess a bachelor’s degree in Human Resource Management
  • Must be a good listener and with good communication skills.
  • Computer literacy skills i.e. working knowledge of  Microsoft Word, Excel, Tally accounts packages, E-mail, Fax and internet knowledge.
  • Be  Smart & presentable
  • Keep company confidential documents
  • Keep corporate image
  • Safeguard against too much socializing with workers
  • The HR Officer must avoid doing private work in office
