Job Title: Office / Ops Manager
Hours: Monday to Friday 8am to 5pm, Saturdays 8am to 1pm, 1 hour for lunch each day.
Leave: half day Saturday and Sunday all day. 21 days paid holiday each year and 9 days public holiday.

Job Description: You are responsible
for the general, day-to-day organisation and logistics of the company.
Organising
guides/instructors, the programs, resupplies as well as the running of the
office, answering telephones and e-mails, marketing of our products and general promotion
of company. Invoicing clients for each itinerary, passing all the information
to the camp manager and keeping a control of food stores in Nairobi.
Responsibilities:
- Please note there is an office assistant who will be on
hand to assist you on the rolls below
- Each morning you should check all the up-coming trips
and changes
- To organise and program trips/activities
- To organise and inform guides when they are working
(keep them updated on changes) to given then a monthly overview of the
upcoming work.
- Check and answer all e-mail enquiries.
- Answer the phone and take bookings.
- Adapt itineraries to our clients needs. (Please always
check with relevant guides before sending)
- Check pricing of each activity.
- Make follow ups, with all client enquiries, before
trips you should always send, 1: trip itinerary.
- 2: a map of how to arrive.
- 3: what the clients need to bring.
- 4: optional services that we have on offer.
- 5: must be invoiced and deposit paid.
- After the trips you should always send e-mail with
general thanks and to check if they have any comments.
- Manage all the social media of the company, Facebook,
twitter, e-mails, web, and blog spots. Please up date with recent stories
and photos.
- Visit travel agencies, schools, corporate businesses
and hotels to leave information of our adventures on offer.
- Organize transport required for all of the trips going
out.
- Liaise with the Camp manager/trip leader and organize
menus required for all trips going out
- Liaise with the Camp manager and organise upcoming
groups accommodation
- Maintain a good stock check of all the food in the
store and if needed, please make the order necessary.
- At the end of the month tally up guides work days and
put in the guides salaries for processing.
- Please keep the office area clean, tidy and organized.
- You are responsible for any members of staff that work
in the office, so please pass information on as necessary.
- At the end of each day it is important to pass on any
information or changes of bookings to the camp manager and trip leaders.
- File all reports from the trip leaders and managers at
the end of each trip.
- Maintain a spreadsheet of all the comments and feedback
that we receive from our clients.
- Maintain a detailed database of all the clients that
participate in our adventures.
- Attend any travel shows and other promotional
opportunities that may arise in Nairobi.

- Always look presentable, and if you are meeting with
clients please use a company shirt.
- Please keep the noise level to a minimum while working.
- Please do not allow food or drinks in the office area;
feel free to take a five minute coffee break in the morning and afternoon.
- Please keep the office clean.
