Job title: Consultant Support Associate
Job Purpose
Provide essential administrative and professional support to the company’s overall consulting business and within assigned projects
Reporting line
This position will administratively report to the Business Manager and functionally to assigned Consultant(s)
Duties and Responsibilities
  • Overall;
  • Under the direction of the assigned Consultant(s), provide all coordination and support services required to carry out consulting assignments and ensure client satisfaction.
  • Administration;
  • Provide administrative support to consultants under the assigned projects.  These duties may include recording minutes from meetings, coordinating documentation for reimbursements with Business Manager, coordinating sub-contractor documentation and invoicing, assisting with project reports and updates, and aiding in overall scheduling of project activities.
  • Planning and Organising;
  • Assist in planning for meetings, training and workshops
  • Organize, manage and maintain a functional and updated filing system of all relevant project consultancy documents and provide support in preparation for project audits
  • Research and Information Management;
  • Under the direction of the Consultant(s), conduct research on topics relevant to the Client assignment
  • Assist in documenting project findings and reports in electronic and print formats
  • Liaise with ICT to ensure timely and accurate entry of information and research to project databases, websites, and other information collection management tools
  • Maintain electronic and hard copy project files
  • Travel support;
  • Assist in planning for travel, including preparation of travel itineraries, coordination of ground arrangements, and liaison with meeting subjects
  • Review and preparation of travel expense reports
  • As requested, accompany Consultant(s) on trips and provide on-site support
  • Assist in post-trip follow-up
  • Financial management;
  • As requested, manage expenses for specific project activities
  • Assist in maintaining all required documentation needed for expense reimbursement by the Client
  • With Consultant, liaise with Business Manager to assist in managing overall expense levels within budgetary guidelines
  • Assist in preparing client invoicing

  • Demonstrates thorough knowledge of word processing, spreadsheet, email, internet and use of search engines. Specific knowledge of MSOffice suite- Word, Excel, PowerPoint andAccess
  • Demonstrates the ability to learn requisite new computer skills
